Job Summary
Choices Psychotherapy is seeking a full-time Behavioral Health Administrative Assistant to support our therapists, psychiatrists, and clients across three Twin Cities locations. This role is ideal for a highly organized, service-oriented professional who enjoys helping people access quality mental health care. Administrative Assistants play a critical role in creating a welcoming client experience while supporting the operational success of our growing practice.
Duties include, and are not limited to, the following:
- Welcome clients and visitors in a professional, compassionate manner.
- Check clients in for appointments and ensure required documentation is complete.
- Collect copays and account balances and accurately process payments.
- Schedule, reschedule, and maintain client appointments.
- Manage incoming calls and direct inquiries appropriately.
- Conduct intake screenings and enter client information into the electronic health record.
- Coordinate appointment reminders and follow-up communications.
- Process incoming and outgoing faxes, emails, and records requests.

Qualifications
- Professionalism with excellent customer service and interpersonal skills
- Effective written/verbal communication skills
- Ability to operate multi-line phone system, copier, scanner, credit card machine and other office machines/software programs
- Working knowledge of HIPAA standards and adherence to mental health and business laws
- Willingness/ability to interact with clients in professional, confidential and sensitive manner
- Experience working with Psychiatrists to include; refill requests, prior authorizations, scheduling and collaboration
- Must be able to listen to complex medical information and document in clear, complete and concise fashion
- Mental Health and Medication Terminology
- Responsible self-starter with strong organizational skills
- Ability to manage multiple priorities, adapt to changing demands, and maintain accuracy in a fast-paced environment.
- Strong analytical and problem-solving skills
- Microsoft Office Skills/ keyboard, 10 key, and mouse proficiency
Other Qualifications
- Must be able to work 40 hours per week (Monday-Friday)
- Must be able to work at office locations in Minnetonka, Chanhassen and Bloomington
- Experience with Therapy iQ or other Electronic Medical Records system such as Procentive and Dr. First are helpful
- Experience in a mental health clinic setting
Required Education/Experience
- Bachelor or Associates degree from an accredited college or university
- Knowledge of and experience in the Mental Health field
- Prior experience in administrative/office duties
- Knowledge of and experience with insurance companies
Pay
- Position is full time. Pay is based on experience.
- Salary range of $43,680 – $49,920 per year; $21 – $24 per hour
