This is a great opportunity to join a medium sized practice of Masters/Doctorate level therapists and Psychiatrists serving clients age 5 through senior adults. This unique venture provides for a therapist to join a clinic that is realizing tremendous growth. Choices Psychotherapy has been established in the St. Louis Park community since 1993 as a sole practice and 1999 as a group practice.


The ideal candidate:

  • Will be an LICSW, LMFT, LPCC, LP
  • Will be credentialed to accept insurance
  • Will work with children/adolescents

What Choices offers:

The contractor has the ability to make 60-67% of collected revenues, the percentage is determined by billed hours. The more you bill, the more you will make. Revenues collected are based on fee schedules regulated by insurance. You will always know what has been billed, collected and remaining on claims associated with individual clients.

Choices Psychotherapy is seeking a full-time administrative assistant

Job Summary

Choices Administrative Assistant Professionals provide reception, clerical, and administrative support for the clinic, collaborating with other administrative employees, therapists and psychiatrists to provide outstanding mental health care in the Twin Cities.

  • Greet clients and other visitors to the clinic
  • Check in clients for scheduled appointments and ensuring all required forms are completed if necessary.
  • Collect co-pays and balances due on account and record payments made
  • Schedule and maintain appointments for patients and clients, including first time appointments
  • Answer incoming phone calls from multi-line phone system and direct calls as necessary
  • On a daily basis, check faxes, phone messages and Dr. First for refill requests
  • Facilitate Prior Authorization Requests for medication as received by pharmacy; which may include online Prior Authorization submission and tracking. With assistance from Nurse or Psychiatrist forward completed request to proper company for further processing
  • Communicate with Psychiatrist for approval/denial and respond to pharmacy and/or client in a timely matter
  • Answer incoming phone calls that are directed to the psychiatry department for refills and symptoms and/or side effects if nurse is out of the office
  • Reminder notifications for all first time psychiatry appointments
  • Conduct phone screenings with new or return clients to gather necessary information and enter information into computerized database
  • Assist billing department as needed with verification of client benefits and manage reauthorization of benefits as needed
  • Assist psychiatry department with obtaining referrals, scheduling of appointments, communicating with pharmacy as needed for medication refills and additional duties as assigned pertaining to the psychiatry department
  • Create and send email communications as needed to inform team/providers of changes/issues
  • Maintain cleanliness in client waiting area; restock beverage station, tissues and client reading materials
  • Assist in the maintenance of office equipment and ordering of office supplies
  • Notify and correct system/database errors as needed
  • Distribute, respond to, and send faxes as needed
  • Assist providers in tracking attendance of patients/clients
  • Attend weekly administrative team meeting
  • Responsible for confidential and time sensitive material including requests for medical records
  • Responsible for opening and closing the clinic and administrative office at both locations when required
  • Contribute to team effort by accomplishing additional requested tasks as needed
  • Maintain professional and technical knowledge by attending educational workshops as needed
  • Other duties as assigned by Clinic Manager and Executive Director



  • Professionalism with excellent customer service and interpersonal skills
  • Willingness/ability to interact with clients in professional, confidential and sensitive manner
  • Flexibility in dealing with novel and multi-faceted situations
  • Experience working with Psychiatrists to include; refill requests, prior authorizations, scheduling and collaboration
  • Must be able to listen to complex medical information and document in clear, complete and concise fashion
  • Mental Health and Medication Terminology
  • Responsible self-starter with strong organizational skills
  • Ability to memorize and perform multi-step tasks frequently and work with interruptions and deadlines
  • Training in medical field
  • Strong analytical and problem solving skills
  • Administrative and effective written/verbal communication skills
  • Microsoft Office Skills/ keyboard, 10 key, and mouse proficiency
  • Ability to operate multi-line phone system, copier, scanner, credit card machine and other office machines/software programs


Other Qualifications

  • Must be able to work 40 hours per week (Monday-Friday)
  • Must be able to work at both office locations; St. Louis Park and Chanhassen
  • Experience with Procentive (electronic health record) and Dr. First are helpful
  • Experience in a mental health clinic setting
  • Experience working with and/or administrating medications


Required Education/Experience

  • Bachelor’s (or Associates) degree from an accredited college or university
  • Knowledge of and experience in the Mental Health field
  • Prior experience as an Administrative Assistant
  • Knowledge of and experience with insurance companies



  • Position is full time. Pay is based on experience.
  • Salary range: $31,720 – $37,440 per year
